Booknetic / Marketing Addon
Building a campaign
Pick one of fifteen audience segments built from Booknetic booking history, narrow it with filters, preview the recipient count, and personalise the message.
Every channel has the same builder under Booknetic → Marketing → Email / SMS / WhatsApp campaigns. It has five tabs: Overview, Campaign Form, Campaigns, Suppression List and a manual-send tab.
1. Choose the audience
Pick a Recipient segment. Segments are built from your Booknetic customers and their appointments.
| Segment | Who is in it |
|---|---|
| Customers with appointments in the last 7 / 30 / 90 days | An appointment between that many days ago and now |
| Customers with appointments in the last N days | The same, with your own number of days |
| Customers with appointments in the next 7 / 30 days | An appointment coming up in that window |
| All customers with appointments | At least one appointment |
| All customers with email address / phone number | Every customer with an address for the channel, booked or not |
| First-time customers (exactly 1 appointment) | Exactly one appointment |
| Repeat customers (3+ appointments) | Three or more appointments |
| Customers without appointments in last N days | No appointment in that window, including customers who never booked |
| Inactive customers (no appointment in last 90 / 180 days, with past history) | Booked before, but not since that cut-off |
| Customers with canceled appointments in last 30 days | A cancelled appointment in the last 30 days |
| Customers with rejected appointments in last 30 days | A rejected appointment in the last 30 days |
Cancelled and rejected appointments don’t count towards the other segments unless you choose statuses yourself in the filters. A customer whose only booking was cancelled is not someone “with appointments”.
On Booknetic SaaS a segment only ever contains that tenant’s own customers.
2. Narrow it down
Under Advanced Filters:
- Service and Location: only appointments for that service or at that location count.
- Statuses: which appointment statuses count. This replaces the default rule that leaves out cancelled and rejected appointments.
- Min appointments: a minimum number of matching appointments.
- Exclude suppression list emails (or phones). This is on by default. Suppressed recipients are skipped at send time anyway, so with it off they show in the preview and then appear in the log as Suppressed recipient.
Choosing a service, location, status or minimum on All customers limits it to customers with matching appointments.
3. Preview
Preview segment shows Recipients count: N and the list of recipients, with Load more for long lists.
The list is fixed the moment you first click Send. People who book afterwards are not added. When it is fixed, the list is also de-duplicated by email address or phone number, so the number sent can be a little lower than the preview.
4. Write the message
- Email: a Subject and a rich-text Message.
- SMS: a plain-text SMS Message.
- WhatsApp: choose an approved template and fill in its Template variables. The body comes from the template and can’t be edited. See Setting up the channels.
Personalisation
Use these placeholders in the email subject and body, the SMS text, and WhatsApp template variables:
{customer_first_name},{customer_last_name},{customer_full_name},{customer_name}{customer_email}(email), or{customer_phone}(SMS and WhatsApp)
If a customer has no name, {customer_full_name} falls back to their email address or phone number.
Templates
Email and SMS come with four built-in templates: Re-engagement (90 days), Loyal customer offer, General announcement and Seasonal campaign. Picking a template fills in the message.
- Save template stores the current message as a template of your own. Built-in templates can’t be edited or deleted.
- WhatsApp has no built-ins; its templates are your approved Twilio templates.
Test it
Send test email (or Send test SMS / Send test template) sends the unsaved form to an address or number you type. The email test fills the placeholders with a sample customer called “Test Customer”.
5. Save
Save campaign stores the campaign as a draft. A draft can be edited for as long as nothing has been sent from it. After that, Duplicate it: the copy is a fresh draft with the same audience and message.
Delete asks for confirmation and removes the campaign and its log. A campaign that is queued or sending can’t be deleted.
